Teams exist within Organizations and allow users and seats to be subdivided for more granular management. This guide explains how Organizations and Teams work, the available Organization types, and how to configure each option.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Organization and Team Structure<\/h2>\n\n\n\n<p>By default, any newly created group is treated as an <strong>Organization<\/strong>.<\/p>\n\n\n\n<p>A group becomes a <strong>Team<\/strong> when it is assigned a <strong>Parent Group<\/strong> (an Organization). This parent\u2013child relationship allows users to be organized into one Organization with one or more Teams beneath it.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Organizations define:\n<ul class=\"wp-block-list\">\n<li>Total seat limits<\/li>\n\n\n\n<li>Available courses<\/li>\n\n\n\n<li>Lead Organizers<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Teams:\n<ul class=\"wp-block-list\">\n<li>Inherit seats and courses from the parent Organization<\/li>\n\n\n\n<li>Are managed by Team Leaders or Lead Organizers<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Types of Organizations<\/h2>\n\n\n\n<p>Groups Plus supports two types of Organizations:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Private Organizations<\/strong><br>Created and managed manually by an administrator.<\/li>\n\n\n\n<li><strong>WooCommerce Organizations<\/strong><br>Sold through WooCommerce, allowing customers to purchase an Organization and manage users and Teams themselves.<\/li>\n<\/ul>\n\n\n\n<p>Each type is described below.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Private Organizations<\/h2>\n\n\n\n<p>Private Organizations are created and configured manually in the WordPress admin. This option is useful when Organizations are sold or provisioned offline and customized per customer.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Creating a Private Organization<\/h3>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Navigate to <strong>LearnDash LMS \u2192 Groups<\/strong>.<\/li>\n\n\n\n<li>Click <strong>Add New<\/strong>.<\/li>\n\n\n\n<li>Enter an Organization name and optional description.<\/li>\n<\/ol>\n\n\n\n<p>Most settings match standard LearnDash Groups, with additional options specific to Organizations and Teams. Here is a short video that walks you through the process of creating a Private Organization.<\/p>\n\n\n\n<figure class=\"wp-block-video aligncenter\"><video controls src=\"https:\/\/learndash.com\/support\/wp-content\/uploads\/2023\/11\/Create-and-Manage-a-Private-Organization.mp4\"><\/video><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\">Team Members (Seat Limits)<\/h3>\n\n\n\n<p>Private Organizations allow defining the total number of users permitted within the Organization.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Locate <strong>LearnDash Groups Plus \u2013 Team Members<\/strong><\/li>\n\n\n\n<li>Enter a value in <strong>Number of Team Members<\/strong><\/li>\n<\/ul>\n\n\n\n<p>An additional field, <strong>Number not using seats<\/strong>, allows assigning Lead Organizers without counting them against the total seat limit.<\/p>\n\n\n\n<p><strong>Example:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Team Members: 100<\/li>\n\n\n\n<li>Not using seats: 5<\/li>\n<\/ul>\n\n\n\n<p>Total users allowed: <strong>105<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>100 Team Members<\/li>\n\n\n\n<li>5 Lead Organizers<\/li>\n<\/ul>\n\n\n\n<p>If the \u201cnot using seats\u201d field is left empty, Lead Organizers count toward the total seat limit.<\/p>\n\n\n\n<p>Seat totals are typically agreed upon in advance. After creation, seat allocation across Teams is managed by the Lead Organizer.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Courses<\/h3>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Click the <strong>Courses<\/strong> tab.<\/li>\n\n\n\n<li>Select the courses to make available to the Organization.<\/li>\n\n\n\n<li>Use the arrow controls to assign courses.<\/li>\n<\/ol>\n\n\n\n<p>Assigned courses become available to users based on Team membership and available seats.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Users and Lead Organizers<\/h3>\n\n\n\n<p>Open the <strong>Users<\/strong> tab to manage access.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Team Members<\/h4>\n\n\n\n<p>This section allows adding regular users. In most cases, this is managed by the Lead Organizer, but administrators can add users if needed.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Lead Organizers (Group Leaders)<\/h4>\n\n\n\n<p>Lead Organizers are assigned in the <strong>Group Leaders<\/strong> section.<\/p>\n\n\n\n<p>Users assigned here must already have the <strong>Group Leader<\/strong> user role.<\/p>\n\n\n\n<p>Group Leaders can act as:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Lead Organizers<\/strong> (Organization-level management)<\/li>\n\n\n\n<li><strong>Team Leaders<\/strong> (Team-level management)<\/li>\n<\/ul>\n\n\n\n<p>Once assigned, Lead Organizers can manage Teams, users, seats, and course assignments.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Teams<\/h2>\n\n\n\n<p>An Organization can contain one or more Teams.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Creating a Team<\/h3>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Navigate to <strong>LearnDash LMS > Groups<\/strong>.<\/li>\n\n\n\n<li>Click <strong>Add New<\/strong>.<\/li>\n\n\n\n<li>Create the group as usual.<\/li>\n\n\n\n<li>In <strong>Group Attributes<\/strong>, assign a <strong>Parent Group<\/strong> (Organization).<\/li>\n<\/ol>\n\n\n\n<p>Once a parent Organization is selected, the group is automatically treated as a Team.<\/p>\n\n\n\n<p>Teams inherit:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Available courses<\/li>\n\n\n\n<li>Seat limits from the parent Organization<\/li>\n<\/ul>\n\n\n\n<p>Seat allocation and Team membership are typically managed by the Lead Organizer.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Team Leaders<\/h3>\n\n\n\n<p>Teams can be managed by Team Leaders using the same Group Leader role.<\/p>\n\n\n\n<p>To assign a Team Leader:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Ensure the user has the <strong>Group Leader<\/strong> role.<\/li>\n\n\n\n<li>Edit the Team.<\/li>\n\n\n\n<li>Open the <strong>Users<\/strong> tab.<\/li>\n\n\n\n<li>Assign the user under <strong>Group Leaders<\/strong>.<\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">WooCommerce Organizations<\/h2>\n\n\n\n<p>WooCommerce Organizations allow Organizations to be sold directly from the site. WooCommerce and the LearnDash WooCommerce integration must be installed and configured.<\/p>\n\n\n\n<p class=\"has-theme-palette-8-color has-theme-palette-2-background-color has-text-color has-background has-link-color wp-elements-d28abd83e11abd1ca9c0961b458e3b65\"><strong>Important:<\/strong> WooCommerce checkout must require account creation. Organization products require <strong>WooCommerce<\/strong> and the <strong>LearnDash WooCommerce integration<\/strong>.<\/p>\n\n\n\n<p>After purchase, Lead Organizers manage Teams and assign Team Leaders using the front-end Groups management interface.
